Information We Collect

We collect the account name and email address of users who sign up to AQA Hub. When your business uses our platform, customer messages sent through connected channels (such as Telegram, Zalo, WhatsApp, email, and voice) are processed on your behalf. If you submit our contact form, we also collect your name, email address, company name, and the content of your message.

How We Use Information

We use the information we collect to provide and improve the AQA Hub service, including operating the AI-assisted reply pipeline, enabling human handoff workflows, and powering the admin console. Contact-form submissions are used solely to respond to your inquiry.

Email Communications

We send only transactional email to users who create an account — including account verification, password reset, and team invitations. We do not send marketing email, and we do not sell or rent your data to third parties. Contact-form data is used solely to respond to your inquiry and is not added to any mailing list.

Data Sharing & Third Parties

We engage sub-processors to deliver the service, including:

• Cloud hosting infrastructure on Amazon Web Services (AWS)
• Large language model (LLM) providers used to generate AI replies on your behalf

We do not sell personal data to any third party.

Data Security

All data is encrypted in transit (TLS) and at rest. Access to production systems is restricted by role-based access controls. As an additional protection, sensitive customer identifiers — including government ID numbers, payment card numbers, and one-time passcodes — are automatically redacted from messages before they are sent to any AI model.

Data Retention

We retain your data for as long as your account is active. If you delete your account or submit a deletion request, we will remove your personal data from our systems within a reasonable period, subject to any legal obligations to retain certain records.
